Lobby call

The time everyone must be in the hotel lobby, ready to leave.

Lobby call is the time everyone must be in the hotel lobby with their bags, ready to leave. Bus call is the same idea for getting on the bus (often after the show). These are the most important times on a travel day; missing one holds up the whole tour.

To set a lobby call, work backwards from when you need to arrive: arrival time minus drive time, minus stops, minus a buffer, minus time to load the vehicle.

Example

Load-in is at 2:00 PM. The drive is 4 h 30 m, plus two 20-minute stops and a 30-minute buffer: 5 h 40 m. Add 20 minutes to load bags, and lobby call is 8:00 AM. (EXAMPLE.)

Tips

Put lobby call at the top of the day sheet, announce it the night before, and use the lobby call calculator.
